Common questions and problems related to time tracking and timesheets in Shyfts.

Clocking In/Out

I forgot to clock in

If you forgot to clock in at the start of your shift:

  1. Clock in as soon as you remember
  2. Notify your manager immediately
  3. They may need to manually adjust your start time
  4. Provide the actual time you started working

I forgot to clock out

If you forgot to clock out at the end of your shift:

  1. Contact your manager as soon as possible
  2. Provide your actual end time
  3. They can manually add your clock-out time
  4. Check your timesheet to confirm the correction

Clock in/out button isn't working

If the time tracking buttons don't respond:

  1. Refresh the page and try again
  2. Check your internet connection
  3. Try a different browser
  4. Wait a few seconds between clicks
  5. Report to your manager if still not working

I clocked in at the wrong time

If you accidentally clocked in early or late:

  1. Continue with your shift
  2. Inform your manager about the discrepancy
  3. They can correct the time entry
  4. Don't try to clock out and back in to fix it

Can I clock in from home?

Remote clock-in policies depend on your employer:

  • Some companies require on-site clock in
  • Others allow remote clock in for remote workers
  • Check with your manager for your company's policy
  • Location tracking may be enabled if required

Break Issues

How do I record breaks?

To record break time:

  1. Click the Break button when starting your break
  2. Click End Break when returning to work
  3. Break time is automatically deducted
  4. Some companies may auto-deduct breaks

I forgot to clock out for break

If you forgot to start/end a break:

  1. Note the actual break times
  2. Inform your manager
  3. They can manually add the break
  4. Future: Remember to use the break button

Breaks are wrong on my timesheet

If break times are incorrect:

  1. Review the original entries
  2. Check if breaks are auto-deducted (policy dependent)
  3. Request a correction from your manager
  4. Provide the correct break times

How long can breaks be?

Break duration depends on:

  • Your company's policies
  • UK working time regulations
  • Shift length requirements
  • Your employment contract

Typically, shifts over 6 hours require at least a 20-minute break.

Viewing Timesheets

Where do I find my timesheet?

To view your timesheet:

  1. Navigate to Time Tracking or Timesheets
  2. Select the period you want to view
  3. See your recorded hours for that period

I can't see my hours

If your timesheet appears empty:

  1. Check the date range - select the correct period
  2. Verify you clocked in during that period
  3. Refresh the page to load latest data
  4. Ask your manager if entries are missing

The hours shown are wrong

If your recorded hours don't match what you worked:

  1. Compare with your shift schedule
  2. Check for missed clock in/out
  3. Review break deductions
  4. Request corrections from your manager

How do I see previous weeks?

To view historical timesheets:

  1. Use the date selector or navigation arrows
  2. Go to the previous week/period
  3. Historical data should be accessible
  4. Very old data may be archived

Submitting Timesheets

How do I submit my timesheet?

To submit your timesheet for approval:

  1. Navigate to Time Tracking
  2. Review all entries for the period
  3. Click Submit or Submit for Approval
  4. Wait for manager approval

I can't submit my timesheet

If the submit button isn't available:

  • The submission period may not be open yet
  • You may have incomplete entries
  • There may be validation errors to fix
  • Your manager may need to unlock it

I submitted with mistakes

If you submitted incorrect data:

  1. Contact your manager immediately
  2. Explain what needs to be corrected
  3. They may reject and return the timesheet
  4. Or they may correct it directly

What's the submission deadline?

Submission deadlines are set by your company:

  • Typically weekly or fortnightly
  • Usually a day or two after the period ends
  • Check with your manager for exact dates
  • Late submissions may delay pay

Corrections & Adjustments

How do I request a correction?

To request changes to your timesheet:

  1. Message your manager through Shyfts
  2. Specify the date(s) affected
  3. Explain what needs to be changed
  4. Provide correct times with evidence if available

My manager rejected my timesheet

If your timesheet is rejected:

  1. Check the rejection reason
  2. Review the entries for errors
  3. Make the necessary corrections
  4. Resubmit when corrected

Who can edit my timesheet?

Timesheet editing permissions:

RoleCan Edit
StaffOwn entries (before submission)
ManagerStaff timesheets (with reason)
AdminAll timesheets (if needed)

Changes aren't saving

If corrections don't save:

  1. Check for validation errors
  2. Ensure you have permission to edit
  3. Refresh and try again
  4. Contact your manager if persistent

Overtime

Is overtime automatically tracked?

Overtime tracking depends on your company setup:

  • Hours over contracted amount may flag as overtime
  • This depends on company policies
  • Check with your manager about overtime rules
  • Not all overtime may be automatically captured

My overtime isn't showing

If expected overtime doesn't appear:

  1. Check overtime is enabled for your company
  2. Verify you exceeded your contracted hours
  3. Overtime rules may vary by role
  4. Ask your manager about overtime policies

Reports & History

How do I see my total hours?

To view hours summary:

  1. Go to Time Tracking or Reports
  2. Look for weekly/monthly totals
  3. These may appear on your dashboard
  4. Managers can generate detailed reports

Can I export my timesheet?

To export timesheet data:

  1. Navigate to the timesheet view
  2. Look for Export or Print options
  3. Choose your preferred format
  4. Browser print can also capture data

How long is history kept?

Timesheet records are typically kept:

  • For payroll and tax compliance periods
  • As required by UK employment law
  • Usually several years
  • Ask your manager about retention policy

For Managers

Staff aren't clocking in

If staff consistently forget to clock in:

  1. Send reminders about the process
  2. Provide training if needed
  3. Manually correct entries as necessary
  4. Consider if the process is accessible

How do I approve timesheets?

To approve staff timesheets:

  1. Go to Time Tracking > Approvals
  2. Review submitted timesheets
  3. Check for discrepancies
  4. Approve or Reject with reason

Bulk corrections needed

For multiple corrections:

  1. Address each timesheet individually
  2. Or contact system admin for bulk help
  3. Document all changes made
  4. Communicate with affected staff
