Viewing Schedules

I can't see my schedule

If your schedule isn't visible:

  1. Check the date range - you might be viewing a different week
  2. Use navigation - click arrows to move between weeks
  3. Refresh the page - schedules update regularly
  4. Contact your manager - shifts may not be published yet

The schedule looks empty

An empty schedule can mean:

  • No shifts have been assigned to you yet
  • You're viewing a future period with no scheduled shifts
  • The schedule hasn't been published
  • There may be a loading issue (try refreshing)

Why can't I see future weeks?

Managers typically publish schedules 1-2 weeks in advance. If you can't see future shifts:

  • The schedule may not be finalised yet
  • Ask your manager when it will be published
  • Check back closer to the time

Times look wrong

If shift times appear incorrect:

  1. Check your device's timezone settings
  2. Shyfts uses UK time (Europe/London)
  3. BST/GMT changes are handled automatically
  4. Report persistent issues to your manager

Shift Problems

My shift is missing

If an expected shift isn't showing:

  1. Refresh the page to ensure latest data
  2. Check if it was cancelled - look for notifications
  3. Verify the date - ensure you're viewing the right day
  4. Ask your manager - they can check the system

I've been scheduled when I'm unavailable

If you've been assigned a shift during unavailable time:

  1. Contact your manager immediately
  2. Explain your availability constraint
  3. They may need to reassign the shift
  4. Update your availability in Shyfts to prevent this

The shift details are wrong

If start/end times or location are incorrect:

  1. Don't assume - verify with your manager
  2. Check for updates - the shift may have been changed
  3. Ask for clarification before the shift
  4. Confirm any changes in writing/messaging

I'm scheduled for overlapping shifts

This shouldn't happen as Shyfts has conflict detection. If you see overlaps:

  1. Report to your manager immediately
  2. Don't try to work both shifts
  3. They will correct the schedule
  4. This may indicate a system issue

Schedule Changes

My shift was changed without notice

Managers can update shifts, but should communicate changes. If changed unexpectedly:

  1. Check your notifications for updates
  2. Ask your manager about the change
  3. Confirm the new times
  4. Discuss notice period policies if needed

I need to request a shift change

To request changes to your assigned shifts:

  1. Message your manager through Shyfts
  2. Explain the reason for the request
  3. Suggest alternatives if possible
  4. Wait for confirmation before assuming approved

Can I swap shifts with a colleague?

Shift swapping depends on your company's policies:

  1. Check if swaps are allowed in your workplace
  2. Find a colleague willing and able to swap
  3. Request the swap through your manager
  4. Wait for approval - both parties need agreement

How far in advance can I see my schedule?

Schedule visibility depends on:

  • When your manager publishes shifts
  • Your company's planning horizon
  • Typically 1-4 weeks in advance
  • Ask your manager for their schedule release policy

Room/Location Issues

I don't know where to work

If the shift location isn't clear:

  1. Check the shift details for room/location
  2. Look at the room assignment in the calendar
  3. Ask your manager for clarification
  4. Arrive early to confirm on your first day

The room shown doesn't exist

If a listed room is unfamiliar:

  1. The room may have been recently added
  2. It might use a different name than you expect
  3. Ask a colleague or manager for directions
  4. Report possible errors to your manager

Calendar Display

The calendar looks wrong

If the calendar display has problems:

  1. Try a different browser
  2. Refresh the page
  3. Clear browser cache
  4. Check your screen size - try zooming out
  5. Report persistent issues

I can't scroll to other weeks

To navigate the calendar:

  • Desktop: Click the arrow buttons or use week navigation
  • Mobile: Swipe left/right on the calendar
  • If stuck: Refresh the page and try again

Colours don't make sense

Shifts are colour-coded by role type:

  • Different colours indicate different roles
  • Your shifts may be highlighted
  • Check the legend if available
  • Ask your manager about colour meanings

Notifications

I'm not getting schedule notifications

If you're missing schedule updates:

  1. Check notification settings in your profile
  2. Ensure browser notifications are enabled
  3. Check your email spam folder
  4. Refresh the app to see latest changes

I got a notification but can't see the change

If there's a mismatch:

  1. Refresh the schedule page
  2. Check you're viewing the correct date
  3. The change may have been reverted
  4. Ask your manager for clarification

Printing Schedules

How do I print my schedule?

To print your schedule:

  1. Navigate to your schedule view
  2. Use your browser's print function (Ctrl+P / Cmd+P)
  3. Adjust print settings as needed
  4. Consider taking a screenshot for mobile

The printed schedule looks different

Print formatting may differ from screen. Try:

  • Landscape orientation for weekly views
  • Adjusting scale to fit page
  • Using a screenshot instead

For Managers

Shifts won't save

If you can't save schedule changes:

  1. Check for validation errors (conflicts, missing data)
  2. Ensure staff member is active
  3. Verify room/resource exists
  4. Try a smaller change to identify the issue

I see conflict warnings

Conflict detection prevents:

  • Double-booking staff
  • Scheduling during unavailable times
  • Overlapping with leave

Resolve conflicts by:

  • Adjusting shift times
  • Choosing a different staff member
  • Checking availability settings

Staff can't see published schedules

If staff report missing schedules:

  1. Verify the schedule is published (not draft)
  2. Check staff are assigned correctly
  3. Confirm their access permissions
  4. Ask them to refresh their browser
